This Privacy Policy explains how Scan Forward ("Scan Forward," "we," "us") collects, uses and shares personal information through www.scan-forward.com (the "Site") and when you contact us about our services. It is written to meet the California Online Privacy Protection Act (CalOPPA) and to describe the California privacy rights we honor.

We do not collect sensitive personal information through the Site and do not use any personal information to infer characteristics about you.
Information you give us
When you submit our quote form or email us, we receive the information you choose to provide. Please do not include confidential document contents or health information in a form submission.
Information collected automatically
- Hosting and security. The Site is hosted by Cloudflare, Inc. Cloudflare processes technical data such as IP address and browser information to deliver pages and protect the Site from attacks.
- Spam protection. Our form uses Cloudflare Turnstile to confirm that submissions come from a person. Turnstile evaluates browser and device signals for this purpose only.
- Analytics. We use Cloudflare Web Analytics, which reports aggregated traffic statistics without using cookies or tracking you across other websites.
Cookies and tracking
We do not use advertising cookies, analytics cookies, or tracking pixels. Our service providers may use strictly necessary technologies to keep the Site secure. Because we do not track visitors across third-party websites, we do not need a cookie banner.
Do Not Track and Global Privacy Control. We do not engage in cross-site tracking, so the Site behaves the same whether or not your browser sends a Do Not Track signal. We treat a Global Privacy Control (GPC) signal as a valid request to opt out of the sale or sharing of personal information. We do not sell or share personal information in any case.

How we disclose information
We disclose personal information only to:
- Service providers who process it on our behalf under contract, including Cloudflare (hosting, security, spam protection and analytics), our transactional email provider (delivering form submissions to our inbox), and our business email provider
- Legal and safety recipients when required by law or to protect our rights, our clients, or the public
- A successor in connection with a merger, acquisition or sale of the business
We do not sell personal information, share it for cross-context behavioral advertising, or disclose it to third parties for their own direct marketing purposes (California Civil Code section 1798.83, "Shine the Light").
Client documents
Documents you send us for scanning, storage or destruction are not collected through the Site. They are handled confidentially under the terms we agree with each client. All Scan Forward employees are trained to comply with HIPAA standards and practices.
Your California privacy rights
We extend the following rights to California residents, whether or not the California Consumer Privacy Act (as amended by the CPRA) applies to our business:
- Know and access the personal information we hold about you and how we use and disclose it
- Delete personal information we collected from you, subject to legal exceptions
- Correct inaccurate personal information
- Opt out of the sale or sharing of personal information (we do neither)
- Limit the use of sensitive personal information (we do not collect it through the Site)
- Non-discrimination for exercising any of these rights
To make a request, email info@scan-forward.com with the subject "Privacy request." We will verify your request by matching the information you provide to what we hold, and respond within 45 days. You may use an authorized agent, who must provide proof of your signed permission. Under CalOPPA you may also review and request changes to personal information you submitted through the Site by contacting us at the same address.
Security
We use reasonable administrative, technical and physical safeguards, including encrypted HTTPS connections for the entire Site. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children
The Site is intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has sent us information, contact us and we will delete it.
Links to other websites
The Site may link to websites we do not control. Their privacy practices are governed by their own policies.
Changes to this policy
We may update this policy. We will post the revised version here with a new effective date. Material changes will be highlighted on this page.
